Privacy Policy
A legal disclaimer
Reaper House Fitness — Privacy Policy Reaper House Fitness ("we," "us," "the gym") operates this app to manage class scheduling, bookings, payments, and communication with our members. This policy explains what personal information we collect through the app, how we use it, who we share it with, and the choices available to you. The app itself is published under the trade name Bulldog Apps; Reaper House Fitness is who you have a membership relationship with and who this policy is written on behalf of. 1. Information we collect Account information you provide directly: first and last name, email address, cell phone number (optional), and date of birth. For members between 13 and 17, we also collect a parent or legal guardian’s name and their affirmative consent to the waiver on the member’s behalf. We do not knowingly collect information from anyone under 13 — self-serve signup is blocked below that age. When you sign the waiver (or, for a minor, when a guardian signs on their behalf), we also record the IP address the signature was submitted from, as supporting evidence of that e-signature. We also maintain records generated by using the app: class bookings, cancellations, waitlist activity, class-credit and PT-session balances, attendance history, and basic device/app usage logs used for troubleshooting. Optional calendar feature (iPhone app only): if you choose to turn on “Add booked classes to Calendar” in Settings, the app asks for permission to use your iPhone’s calendar. It then creates its own calendar named “Reaper House Fitness” on your phone and adds or removes your booked classes in it. The app does not read, copy, or store your other calendar events, and no calendar information is sent to us or to anyone else — it stays on your phone. Turning the setting off deletes that calendar and every class in it. This feature is off by default, and the app works the same without it. 2. Payment information Payments are processed by Square, a third-party payment processor. We never see, transmit, or store your full card number, CVV, or bank details — that data is handled entirely within Square’s own systems. We retain a record of completed transactions (amount, package purchased, and a Square-assigned reference number) for your account history and our own bookkeeping. 3. How we use your information To create and maintain your account, operate class booking and the waitlist, process payments and keep your credit balances accurate, communicate with you about your classes and account (including the SMS and email notices described below), respond to support requests, and maintain the safety and integrity of the gym and this app. 4. SMS and email communications If you provide a phone number, you may choose to receive two separate kinds of text messages from Reaper House Fitness, each with its own optional checkbox that is unchecked by default: (1) non-marketing texts, such as class confirmations and reminders, schedule or location changes, and account alerts; and (2) marketing and promotional texts, such as special offers, discounts, and news. You may agree to either, both, or neither, and agreeing to one does not mean you have agreed to the other. Consent is optional and is not a condition of purchase or service. Message frequency varies, and message and data rates may apply. Reply STOP to cancel at any time or HELP for support (or contact us at 603-620-7356 or info@reaperhousefitness.com). Declining does not affect your ability to use the app. We keep a record of when you agreed to each kind of text and the wording you agreed to. We separately send account-related emails (such as email verification and reminders about classes you’re booked into) to the address you provide. We do not share, sell, or provide your mobile phone number or text-messaging consent data to third parties or affiliates for marketing or promotional purposes. Your number is shared only with our text-messaging provider, solely to deliver the messages you asked to receive. 5. Who we share information with We do not sell your personal information. We share it only with the service providers that operate the app on our behalf, each bound to use it only to provide their service to us: Square (payment processing), Google Firebase (account authentication and database hosting), Resend (transactional email delivery), and, once enabled, a text-messaging provider for the SMS communications described in Section 4. We may also disclose information if required by law or to protect the safety of our members or staff. Calendar information described in Section 1 is never shared with us or any third party. Nothing in this section allows your mobile phone number or text-messaging consent to be shared with third parties or affiliates for marketing or promotional purposes. Separately, and only with the photo/video consent you give in the waiver: photos or videos taken during classes may be posted publicly to Reaper House Fitness’s own social media accounts (such as Facebook and Instagram) or website for marketing purposes. This is different from the service-provider sharing above — it’s a public posting practice, made only with your affirmative consent, not something we do with your other personal information. 6. Data retention We retain account and booking information for as long as your account is active, and for a reasonable period afterward for recordkeeping, legal, and dispute-resolution purposes. If your account is disabled, your historical records (past classes, credit activity) are preserved rather than deleted, so we can maintain accurate business and safety records. If you delete your account (Section 7), we permanently erase your profile, contact information, and booking history, with two exceptions. We retain the name, amount, and date associated with each paid transaction, kept solely for our accounting and tax records and no longer linked to an active account. We also retain a record of each text-message consent you gave or withdrew (your phone number, the date and time, and the wording you agreed to) for as long as the law may require us to be able to show that consent. We use that record only to prove consent, never for marketing, and we do not share it except as needed to show your consent to our text-messaging provider or a mobile carrier, or as required by law. 7. Your choices and rights You can review and update your name, phone number, and other profile details in the app’s Settings at any time. You can also permanently delete your own account and its associated personal data directly from Settings, with no need to contact us first — see Section 6 for what’s retained afterward and why. For anything Settings doesn’t cover — correcting other information, or a deletion request outside the app — contact us using the information in Section 10 and we’ll respond as required by applicable law. Note for the record: the New Hampshire Privacy Act (effective January 1, 2025) grants a formal set of these rights to consumers, but only applies to businesses that control or process the personal data of 35,000 or more consumers a year (or 10,000+ with more than 25% of revenue from data sales) — thresholds this gym does not currently meet. We’re choosing to honor requests like these as a matter of policy regardless, not because the statute currently requires it of a business our size; that may change as we grow, and should be re-checked by counsel periodically. 8. Children’s privacy This app is not directed at children under 13, and we do not knowingly collect personal information from anyone under 13 — self-serve account creation is blocked below that age. For members 13–17, an account can only be created by a parent or legal guardian, who provides their own name and consent alongside the minor’s information. 9. Data security We use industry-standard providers (Google Firebase, Square) with their own security safeguards to store and process your information, and restrict staff access to member data to what’s needed to run the gym. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security. 10. Changes to this policy; contact us We may update this policy as the app or our practices change; material changes will be reflected here with an updated version note. Questions about this policy or your information can be directed to Reaper House Fitness at info@reaperhousefitness.com or 603.620.7356.
